Privacy Policy

This Privacy Policy explains how Table Snap collects, uses, and protects information when you use our tabletop role-playing game assistant, website, account features, Discord bot, voice-recording features, and billing flows.

1. Information we collect

We collect account information such as your email address, authentication data, billing status, and service settings. We also collect content you choose to upload or create, including table notes, world lore, characters, arcs, sessions, transcripts, attachments, exports, and related metadata.

2. Payment information

Payments are processed by Paddle. Table Snap does not store full credit card numbers. We receive billing metadata from Paddle, such as customer identifiers, subscription status, plan, transaction status, and webhook events needed to activate and manage paid access.

3. How we use information

We use information to provide the service, authenticate users, process and organize tabletop content, maintain billing and entitlements, support exports, troubleshoot issues, improve product quality, prevent abuse, and comply with legal obligations.

4. AI and processing providers

Table Snap may use infrastructure, transcription, storage, database, and AI service providers to process your content for product features such as transcription, summaries, structured notes, search, and exports. We share only the information needed for those providers to perform services for Table Snap.

5. Data sharing

We do not sell your personal information. We may share information with service providers, payment processors, legal or safety authorities when required, or in connection with a business transfer such as merger, acquisition, or sale of assets.

6. Data retention and exports

We retain account and content data while your account is active or as needed to provide the service, comply with obligations, resolve disputes, or enforce agreements. Table Snap is designed to support portable exports so you can keep copies of your tabletop material.

7. Security

We use reasonable technical and organizational safeguards to protect information. No internet service can be guaranteed perfectly secure, so you should keep your account credentials safe and avoid uploading information you are not comfortable processing through an online service.

8. Your choices

You may request account assistance, data access, correction, export, or deletion by contacting us. Some billing, security, tax, and transaction records may need to be retained as required by law or legitimate operational needs.

9. Discord bot, OAuth, and voice data

When you sign in with Discord, link Discord to Table Snap, install the Table Snap bot, or use a bot command, we may receive Discord account and server information such as user IDs, usernames or display names, avatar information, server and channel IDs, installation and authorization records, and command or interaction metadata. We use this information to link the correct Table Snap account, authorize GM controls, manage bot installations, prevent abuse, and provide support.

When an authorized user starts a recording, the bot may process voice-channel audio and speaker-activity events, including which Discord participant was speaking and the timing and overlap of speech. Table Snap uses this information to create one mixed mono audio artifact, align transcript segments with speakers, process the session, and preserve transcript and processing provenance. We do not sell this information or use the bot to record text messages or unrelated voice channels.

Temporary Discord session audio is deleted seven days after successful processing. Transcripts, speaker and diarization metadata, processing records, and analysis output may be retained with the associated Table Snap world or account until deleted or otherwise handled under this Policy. Discord separately processes information under its own privacy policy, and disconnecting Discord or removing the bot stops future access but does not automatically delete Table Snap records already created from completed sessions.
